The silver bullet for better management with less sweat

Companies, like people, have become co-dependent on technology to conduct their daily business, communicate and be more efficient. Despite this, and the proliferation of technological gadgets and resources to fuel this co-dependency, many mid-sized companies don’t believe they’re big enough for Enterprise Resource Planning (ERP).

“This couldn’t be further from the truth. Any business that wants to optimise its operations, efficiencies and profits will benefit from ERP. There is no reason why a smaller company should not have an integrated tool in place for managing the business. Businesses actually grow through the use of these tools and companies that don’t adopt them are at risk of being left behind,” says Martin Robinson, Sales Manager at Bluekey Software Solutions, a local technology company which specialises in the implementation of SAP Business One, the ERP solution for small and medium size businesses.

Bluekey has completed over 220 SAP Business One implementations within local companies which are now working faster, smarter and more profitably as a result.

“We have seen some companies reduce their stock levels by over 30%, dramatically slash software and support costs, reduce admin headcount, and improve efficiencies, and productivity to the extent that they are not only running more profitably, but they have the working capital they need at hand to actually grow the business,” says Robinson.

He prefers to think of SAP Business One as a business management tool rather than an ERP solution.

“When companies start to think of ERP as a business management tool it is much easier to see how it can benefit the business. The success and direction of any business is dependent on the decisions its people make and the actions they take. When managers have easy access to accurate and timely information on what’s happening in each area of the business, they are able to make intelligent decisions and take the right course of action, first time.

“This is what SAP Business One does. It pulls together key functions from CRM and human resources, to stock management and finance, in one system, providing one source of the truth which allows for better decision-making and cohesive, hands-on control of the business. So, instead of scurrying around trying to put out fires after they’ve started, managers can manage by exception,” says Robinson

SAP Business One is easily tailored to individual business needs. Companies can define and set business rules, processes and policies for each area of the business on one platform. Automatic alerts can be built into the system so that when any action is attempted that is incongruent with these rules and procedures, management will know immediately.

This allows managers to be pre-emptive in managing business events and responding to needs of customers. It also helps to prevent mistakes from being made. For instance, SAP Business One can be used to enforce the segregation of duties and strict authorisation procedures and approval mechanisms so that stock can’t be shipped out at the wrong price, customers can’t be charged incorrectly and employees cannot access or change customer details if they aren’t authorised to do so.

“An integrated tool like SAP Business One enables management to tighten the reins on all aspects of the business in a way that no other loosely-knitted set of systems and procedures ever could. When used effectively, it becomes an invaluable support to managers, allowing them to run the business intelligently and optimally with less sweat,” concludes Robinson.
